Privacy Policy

Ruumz is committed to protecting your privacy. This Policy explains the data we collect, why we collect it, how we use and share it, and how you can control it.

1. Data We Collect

a. Data you provide directly:

  • Account information: name, profile photo, email address, and interest preferences (#Padel, #Gaming, etc.).
  • Ruum content: title, description, category, timing, and geographic location of the gathering.
  • Messages: content of conversations within expired Ruumz.

b. Data we collect automatically:

  • Live GPS location — required to operate the Map and Pulse feature.
  • Device data: device type, OS, unique device identifier, and IP address.
  • Usage data: pages viewed, in-app actions performed, and session timing.
  • Attendance data via QR code when the check-in feature is used.

2. How We Use Your Data

  • Operating the App and delivering its core services (Map, Search, Ruum creation).
  • Sending notifications related to join requests, approvals, and user ratings.
  • Powering the Hotness Algorithm to determine the pulse intensity of locations on the map.
  • Calculating Host Reputation and awarding Vibe Badges.
  • Improving the App, analyzing usage patterns, and resolving technical issues.
  • Complying with legal and regulatory obligations.
  • Detecting fraud and preventing conduct that violates these Terms.

3. Data Sharing

We do not sell your personal data to any third party. We may share data only in the following circumstances:

  • Technical service providers (cloud hosting, analytics, infrastructure) under strict confidentiality agreements that prohibit re-sale or commercial use.
  • Business Partners: when partners subscribe to the Boost feature, we share only aggregated, anonymized statistics (e.g., number of views and interactions).
  • Legal authorities: pursuant to court orders or requests from competent governmental bodies.
  • Other users: some of your public data (name, photo, interests, reputation) is visible to other users based on your privacy settings.

4. Location Data

The App relies on live GPS to power the Map and Pulse feature. You may disable location permission at any time via your device settings, though this will restrict core App functionality. We do not store your historical location records long-term; location data is only retained for the duration of an active Ruum session and is then deleted.

5. Data Retention

  • Account data: retained for the life of the account and deleted within 30 days of a deletion request.
  • Ruum chats: archived for 24 hours after a Ruum ends, then permanently deleted.
  • Usage and audit logs: retained for 12 months for security and legal purposes.
  • Financial transaction data: retained for 5 years in accordance with Saudi Arabian financial regulations.

6. Your Rights

  • Access: the right to request a copy of your data held by us.
  • Rectification: the right to correct inaccurate data.
  • Erasure: the right to request deletion of your data, subject to applicable legal obligations.
  • Objection: the right to object to processing of your data for marketing purposes.
  • Portability: the right to receive your data in a machine-readable format.

7. Data Security

We implement appropriate technical and administrative safeguards to protect your data from unauthorized access, disclosure, alteration, or destruction, including TLS/HTTPS encryption in transit, database encryption, and restricted employee access controls. However, no electronic system can guarantee absolute security; the Company commits to prompt notification in the event of a breach affecting your data.

8. Children & Minors

The App does not target persons under 18 and does not knowingly collect their information. If we become aware that a minor has submitted personal data, we will immediately delete that data and terminate the account.

9. Policy Amendments

We may periodically amend this Policy. Material changes will be announced via the App or email 14 days before taking effect. Continued use of the App after an amendment constitutes acceptance of the updated Policy.
